Terms of use

The rules for accessing and using the EPTS Duties workforce and duty-management service.

1. About the service

EPTS Duties is an operational workforce platform provided by EPTS. It enables subscribing organisations to manage users, duties, rotas, expressions of interest, allocations, paperwork, absence information and payroll preparation. Your organisation controls who may use its workspace.

2. Accounts and access

Users must provide accurate information, keep their credentials confidential and use only the workspace and permissions assigned to them. Administrators are responsible for reviewing access, deactivating leavers and enabling available security controls. Account sharing and attempts to bypass access controls are prohibited.

3. Operational responsibility

EPTS Duties supports planning and highlights configured conflicts. It does not replace a controller, scheduler, transport manager, payroll professional or legal compliance check. Organisations remain responsible for allocations, route competence, working time, drivers’ hours, pay, welfare and all final operational decisions.

4. Acceptable use

  • Do not upload unlawful, malicious or irrelevant material.
  • Do not access another person’s information without authority.
  • Do not use the service to harass, discriminate or make unlawful employment decisions.
  • Report suspected account compromise or incorrect access promptly.

5. Customer data and files

Each organisation is responsible for the accuracy, lawful collection and authorised use of information placed in its workspace. EPTS processes workspace data to provide, secure, support and maintain the service in accordance with the applicable agreement and the EPTS Duties privacy notice.

6. Availability and changes

EPTS aims to provide a reliable service but maintenance, security incidents and third-party outages may occasionally affect availability. Features may be updated to improve security, compliance or operation. Material changes will be communicated where reasonably practicable.

7. Suspension, termination and deletion

Access may be suspended to protect the service, comply with law, address misuse or manage an expired agreement. Workspace administrators can apply retention periods and EPTS Support can permanently delete a company after typed confirmation. Deleted operational information remains in encrypted recovery backups only until the backup retention period expires.
